GoTrain system — feature overview

GoTrain Workout is a system for managing and automating a fitness facility.

It consists of two applications: a web application for gym staff and a mobile application for members. The web app covers members, memberships, payments, sales, inventory, bookings, trainers, employees, finance, access control, lockers and reports. The mobile app gives members registration, membership status, online payment, QR access, bookings, lockers, notifications and direct communication with the gym.

The goal is simple: less manual work, fewer mistakes, better control and a smoother experience for every member.

No. GoTrain is not just an app and it is not only membership software.

GoTrain connects software, mobile app, online payment, access control, readers, speed gates, lockers, implementation, staff training, maintenance and support. That matters because in real life problems usually happen between different vendors. One company provides the software, another installs the gates, a third maintains the readers, and everyone says the problem is not theirs.

With GoTrain, you get one system and one responsible team.

GoTrain solves the problems owners feel every day: reception desk overload, manual renewals, members waiting in line, unpaid entries, borrowed cards and wristbands, errors in records, lost bookings, manual debt tracking, unclear reports and too many people needed at the front desk.

It also solves the question that becomes painful when something stops working: who is responsible?

GoTrain does not add technology for show. It adds technology so the gym can work more simply, securely and profitably.

GoTrain automates much of the work that is usually done at the front desk.

A member can register, pay for a membership, become active, enter through a gate and use a locker without waiting for someone to process everything manually. With a standard GoTrain setup, reception work can be organized with one staff member at the desk, regardless of the size of the facility or the number of members.

That staff member is no longer buried in repetitive tasks all day. They can focus on members, sales and the overall experience in the club.

Yes. GoTrain can be paid over 24 to 48 monthly installments.

The idea is not to force the owner to pay for the entire system upfront and block cash that is needed for the business. The idea is to introduce the system through a monthly model that can be lower than the cost the gym saves by reducing front desk workload.

The system should not become an additional burden. It should replace part of a cost that already exists.

The monthly cost can include the GoTrain Workout license, web application, mobile application, access control, reader operation, locker automation, implementation, data migration, staff training, online support, maintenance, on-site service and the agreed part related to payments from active members.

Everything is defined before signing. A gym owner should never find out later that essential parts of the system are charged separately.

Because GoTrain should grow with the gym, not against it.

Part of the fee can be connected to real system usage and payments from active members. When a gym has more activity, the system processes more transactions, more automation and more value for that facility.

This is not a hidden cost. It is a transparent part of the model, agreed in advance and clearly shown in the offer.

Yes. The price depends on the size of the facility, the number of active members, entrances and exits, readers, lockers, level of automation and the market in which the gym operates.

A small studio and a large fitness club do not use the system in the same way. That is why pricing is not guessed. First we look at the real facility, the real problem and the real business case. Then we prepare the offer.

Yes. If a gym wants to pay for installation and launch at once, that is possible.

In that case, a monthly license for using GoTrain Workout and other agreed monthly elements remain. Still, our main recommendation is long-term monthly payment because it keeps more working capital inside the business and allows the system to be financed through the savings it creates.

The equipment remains the property of the GoTrain system until the final installment is paid.

After the installment period is completed, the equipment is transferred to the gym under the contract. From that point, the equipment and system remain with the gym, while the software license and maintenance continue according to the agreed model.

The owner knows exactly what is being paid for and what remains after the payment period.

That is one of the most important questions.

Migration to GoTrain must not disrupt gym operations. Implementation starts with an analysis of what you already have: members, memberships, payments, bookings, visit history, debts, packages and rules.

We do not assume. First we map the current situation. Then we define what will be migrated, what will remain as archive and what cannot be migrated for technical reasons. Only when everything is clear do we create the migration plan.

They should not have to.

The goal of implementation is that members do not experience the change as a problem. Data is migrated in a planned way, tested on a sample and checked before the final transition.

The best migration is the one members barely notice. They simply get a better way to use the gym.

It depends on the condition of the existing database, the number of members, the quality of the data and the complexity of membership packages.

What matters more than speed is the process: analysis, test migration, verification and only then the final transition. A gym should not lose members, time or payments because someone changed the system carelessly.

The GoTrain team trains the staff in the local language of the market where the system is installed.

Training is not just showing buttons. Staff need to know how to add a member, renew a membership, solve an access problem, use bookings, check a payment, open a locker and read a report.

A system is truly good only when the people in the gym use it without fear.

The member gets a simpler experience.

They can register, pay for a membership, enter with a QR code or reader, book a training session, use a locker, receive notifications and communicate with the gym through the mobile app.

The member comes to train. GoTrain removes the obstacles between the member and the workout.

Yes. Online payment is part of GoTrain Workout, but the membership is sold and charged by the gym.

GoTrain enables the technical process: the member chooses a package, pays, the status changes automatically and access is activated according to the gym's rules. The member can become active without visiting the front desk.

For the owner, it means less administration. For the member, less waiting. For the gym, faster collection.

No, not if the process is configured correctly.

The member can register, pay for a membership and come directly to train. Reception can see the member in the system, but does not have to activate them manually if all conditions are met.

That is real automation: the system works in the background, while people focus on things that require human attention.

Access is connected to membership status and gym rules.

If the member has an active membership and the right to enter at that moment, the system approves entry. If the membership is not active, if the member is suspended or if they do not have access to that zone, entry is not approved.

The doors and the software work together. That is the key difference.

The system does not rely on only one layer of protection.

It can use a dynamic QR code with a short validity period, access-sharing protection, anti-passback rules, one approval for one entry, real-time membership status checks and additional member verification where needed.

The point is not to treat members as a problem. The point is to remove gaps that cost the gym money every month.

The system is designed so a static image is not a reliable way to enter.

The QR code can change frequently and remain valid only for a short time. An image sent to someone else, or saved earlier, may have no value by the time someone reaches the entrance.

The gym chooses how strict the protection level should be.

GoTrain can significantly reduce that type of misuse through access rules, visit history, anti-passback and additional identity verification where needed.

Not every gym needs the same level of control. A family studio, a large fitness club and a 24/7 facility have different risks. Protection is configured for the facility, not forced from a template.

Anti-passback means the system does not allow illogical entry and exit behavior.

For example, if a member has already entered, the same access method cannot be used for another entry until the system records an exit. This helps prevent cards, wristbands or access rights from being passed to someone else.

It is a simple rule, but in practice it closes many gaps.

Yes. GoTrain can connect locker operation with the mobile app and gym rules.

A member can use a locker without a key, while the gym has an overview of usage and status. Automated lockers are not only about comfort. They reduce lost keys, front desk pressure and manual problem-solving in the changing room.

That depends on the model the gym chooses.

The system can work with the mobile app, card, wristband or a combination of access methods. Some gyms want a fully mobile experience. Others want a backup option.

GoTrain is configured according to how the facility operates.

The system is planned so the gym does not stop because of one internet problem.

In a serious implementation, local device logic, event recording and synchronization after reconnection are considered. For facilities where this matters, backup internet can also be installed.

A member should not stand outside the door because the internet provider had a bad day.

For facilities where continuity matters, uninterrupted power supply and safe entry/exit rules are planned in advance.

With access control systems, safety always comes before convenience. That is why power outage, fire signal and emergency opening procedures are defined before the system goes live.

The issue is reported and the service process starts.

GoTrain is set up with clear responsibility: software, equipment, installation, support and maintenance are part of the same solution. You are not passed from one vendor to another.

Online support is available 24/7, and on-site service is defined by contract. The standard response is online support within 24 hours at the latest and on-site service within 72 hours at the latest.

Not as a surprise.

The maintenance model is defined in advance. If maintenance is included in the monthly package, the gym knows what it is paying for and does not face unpleasant additional costs for every visit.

Transparency matters because a system that controls access must not have unclear maintenance terms.

Sometimes yes, but not always.

With entrance gates or some readers, existing equipment can be considered if it technically supports what the system requires. With locker automation, this is usually more difficult because lockers must have equipment that supports that type of operation.

First we look at what you have, then we tell you realistically what can and cannot be done.

Yes, depending on the goal.

Some gyms first want CRM, memberships, payments, mobile app, bookings and reports. Gates and lockers can be added later.

Still, the greatest value of GoTrain appears when software, mobile app, payment and physical access are connected into one system.

Yes. GoTrain is not only for large gyms.

A Pilates studio, boutique studio, functional training center, martial arts club or wellness facility can use the parts of the system that actually matter to them. Smaller facilities usually use memberships, bookings, online payment, member communication and reports the most.

Larger facilities often add gates, lockers, multiple zones, more staff roles, inventory and advanced access control.

Yes.

By default, members use the GoTrain mobile app. As a premium option, a white-label app can be built under your gym's name, logo and colors.

This is for clubs that want members to see only their brand and want the entire digital experience to match the facility.

Yes.

GoTrain can allow members to book personal training, group classes and appointments through the mobile app. The gym defines the rules: how early members can book, how late they can cancel, what happens with late cancellations and how the waiting list works.

A good booking system reduces empty spots, forgotten appointments and unnecessary calls to the front desk.

Yes. GoTrain enables communication with members through the mobile app and push notifications.

These can be operational messages, such as appointment reminders, membership information or schedule changes. They can also be sales and service messages, in line with the gym's rules and member consents.

Communication should not depend on notes at the front desk or messages someone forgot to send.

You get reports that help you run the business, not just look at numbers.

GoTrain includes more than 65 reports covering daily operations, members, payments, sales, staff, trainers, access, bookings, lockers and financial performance.

You can track visits by day and hour, active and inactive members, memberships about to expire, frozen memberships, payments, sales, inventory, bookings, trainer performance, staff work, locker usage, entries and exits, class occupancy and financial indicators.

The most important part is that the data is available in real time. The owner does not need to be inside the facility to know what is happening.

Yes.

GoTrain Workout Web is a web application. You can access it from a browser, from any location where you have internet access and the right permissions.

The owner can be out of town, traveling or at home and still see visits, payments, staff work, active members and the current state of the facility.

Yes, because the system shows early signals that staff often notice too late.

If a member stops coming, if their membership is about to expire, if they no longer book sessions as before or if their behavior changes, that can be seen through the data.

Retention does not start when a member says they are leaving. It starts earlier, when the system shows that something has changed.

Yes.

The system makes online membership purchase easier, renewals faster, communication better, member tracking more precise and sales performance clearer.

When a member can buy or renew a membership without waiting, less money is left for "later." In fitness, "later" often means lost revenue.

It can help.

A member who enters easily, books easily, sees membership status, receives reminders and has no frustration at the front desk has fewer reasons to skip a workout.

GoTrain does not train instead of the member. It removes the obstacles that often keep the member away from training.

Yes, the system is designed to significantly reduce that problem.

In many gyms, there is revenue that never appears in a report because it was never collected: a member whose membership expired, someone entering behind another person, someone borrowing a wristband or someone using someone else's access.

GoTrain connects membership status with physical access. If the right to enter does not exist, entry is not approved.

Yes, as a separate premium project.

A fully automated gym requires more serious facility preparation, more advanced access control, clear rules, additional safety procedures and detailed implementation.

For facilities that want maximum automation, GoTrain can develop a solution that allows operation without front desk staff during shifts.

No.

GoTrain does not operate in the fitness business that way and does not plan to compete with its clients.

Your business is the gym. Our business is the system. We help your facility work better, safer and more profitably.

The gym.

Your members are your members. GoTrain should never be a system that locks you in by holding your database hostage. Member data belongs to the gym, and GoTrain processes it so the system can work.

That must be clear in the contract.

You receive your database.

If the gym decides to leave GoTrain, the data that belongs to the gym is delivered without charge, in the agreed format.

A system that keeps you only because you cannot export your own data is not a partner. It is a trap. GoTrain does not want that kind of relationship.

Yes.

Implementation is not the end of the project. It is the beginning of the system working in real life.

GoTrain provides online support, maintenance and agreed service procedures. The goal is not only to install the system. The goal is for the system to work every day.

You get a partner.

The GoTrain team has fitness business experience and understands problems that do not appear in technical specifications: membership decline, seasonal slowdowns, new competition, weak sales, poor retention, overloaded front desk, unclear packages and disorganized operations.

A client can ask for advice, not only technical support.

It should not be.

The system can be deep and powerful, but everyday use must stay simple. Reception should find a member quickly. A manager should see revenue quickly. A trainer should see their schedule quickly. The owner should see what is happening quickly.

If software makes people work more than before, it did not automate the business. It only moved the work onto a screen.

First we talk about the facility, not the software.

We look at how the gym works today: number of members, entrances, front desk workload, current system, equipment, lockers, payment model, working hours, peak times, problems and the owner's goal.

Only then do we propose a solution. GoTrain is not installed to look modern. It is installed to solve a specific problem.

The simplest way is to compare the monthly cost of the system with the monthly cost the system can reduce or recover.

That includes less front desk pressure, less manual work, fewer mistakes, fewer unpaid entries, faster online payments, better membership control, better retention, better reports and less wasted time.

If the system saves or recovers more every month than it costs, the decision becomes simple.

GoTrain does not sell only one part of the problem.

GoTrain does not say: "Here is the software, find someone else for the doors." It does not say: "Here are the gates, find someone else for the app." It does not say: "Here is the app, maintenance is a separate story." It does not say: "That is not our problem."

GoTrain connects everything a gym needs to operate in a modern way: web system, mobile app, online payment, access control, lockers, implementation, training, support, maintenance and business understanding.

One system. One responsible partner. One clear business case.
